Computer Keyboard Shortcuts

Basic stuff for advanced computer users but helpful for novices...

Note:

The Ctrl key is at the bottom left of your keyboard

(on most keyboards it is also on the bottom right).

It is used like the shift key is used.

You hold it down while stroking another key.

How to highlight words or text. Here are several methods:

1. Drag your mouse over the letter or letters you want to highlight.

2. Double click on one word to highlight that word.

3. Triple click to highlight a paragraph.

4. Use Ctrl A to highlight the entire page.

How to copy material onto your "virtual clipboard."

1. Begin with highlighted text (see above).

2. Ctrl C – (hold down Ctrl while tapping on C; this is the "copy" command)...

This copies the highlighted data on your "clipboard" and leaves the original material in place.

3. Ctrl X – (hold down Ctrl while tapping on X; this is the "cut" command)...

This copies the highlighted data on your "clipboard" and cuts the original out of its original place.

4. Right click commands can also be used to "copy" or "cut."

How to paste material into your document or email.

1. Load your clipboard with a "copy" or "cut" command (see above).

The clipboard "remembers" the last thing you copied. It can be used multiple times. 

It's a great time-saver!

2. Place your cursor in the document where you want to insert the selected information.

3. Ctrl V – this "pastes" the clipboard material into the spot you have marked with your cursor.

4. Right click commands can also be used to "paste."

Using these techniques, you can take something from one email and drop into a new email. You can take something from a Word document and put it wherever you want it. Or you can take something from a website and put it wherever you want it. 

Note:

It is usually preferable to copy and paste (instead of forwarding emails) so your readers don't receive all the "garbage" (headers and footers) that accompany endlessly forwarded pieces of mail that are almost impossible to read. It is also a nice courtesy to clean up any messes that exist in the message you are relaying to someone else.

Here is a list of shortcuts. After you have highlighted some text, use these commands:

 

Ctrl X – cut (removes it from the document and puts it on your clipboard)

Ctrl B – bold or take away bold

Ctrl I – italicize or take away italics

Ctrl U – underline or take away underline

Ctrl [  – reduce point size by 1 point

Ctrl ] – increase point size by 1 point

Ctrl S - save

Ctrl P - print

Ctrl END - takes you to end of document

Ctrl HOME - takes you to start of document

Ctrl Z - reverses the previous command ... use this if you goof and want to put things back as they were; in some situations you can reverse several consecutive commands.

 

Ctrl L – left justify

Ctrl R – right justify

Ctrl E – center

Ctrl Q - justifies both left and right

Ctrl D - brings up FONT window; for changing type style, size, color, etc.

Ctrl F - brings up FIND window; then type in wording you are looking for and hit return.

 

Ctrl 1 = single space this paragraph

Ctrl 2 = double space this paragraph

 

These keys and commands can save a lot of mouse activity!

How To Make Or Remove A Hyperlink

1. Put the hyperlink address on your clipboard (highlight it and use Ctrl C).

2. Highlight the word/symbol/or link that you want to hyperlink.

3. Right click and choose INSERT A HYPERLINK from the list.

4. Enter your link address in the hyperlink window (Ctrl V).

5. Remove with a right click (click on REMOVE HYPERLINK).

6. With this skill you can send your friends and prospects to any site (go to the page you want them to see and copy the link address from your browser bar).

Note:

What is a hyperlink? It is a web address or email address that is loaded "into the word or phrase" for the convenience of your reader. Example:
